Reconciling your Wildbook accounts in preparation for Codex

Hello, Wildbook User!

We have some exciting changes coming down the pipeline for Wildbook! The Wild Me team is working to create the next generation of the Wildbook platform, Wild Me Codex. To prepare for the move to this new platform, we are doing some work to ensure greater data integrity for each user account, and that starts with associating each account with a unique email address.

What do you need to do?

As an important first step of this process, we are working to reconcile duplicate accounts. We need your help to make sure that accounts get associated correctly. To do this, sign in to your main account and access Manage My Accounts from the Administer tab.

From there, if you see other user accounts that we suspect might be associated with you, you will need to decide if each account should be merged with the account you are currently signed in as.

If the account should be merged with your currently-signed-in user, select “Consolidate with current user”. This should be done for all accounts that a) belong to you and b) should have the same data access and management privileges. For all other accounts listed, select “Do not consolidate with current user”. You will need to make a choice for all presented accounts.

Once you’ve finished, you’ll be able to click “Apply Changes”.

What if you want to maintain multiple accounts?

If you want to maintain multiple accounts―say, you are a member of more than one organization or project and need to maintain distinct permissions between them―you need to sign in under each username that you want to maintain and ensure the account has a unique email address within the next 90 days. You must complete this consolidation process for each account that you want to maintain.

What happens after 90 days?

After 90 days, we will finalize the account changes. Any account claims that were made will be processed. The following changes will also be made:

  • We will automatically consolidate an account that does not have a username but does have an email address with an account that has a username and a matching email address. All data previously associated with the involved accounts will now be associated with the consolidated account. Any account customizations would need to be reviewed and potentially reset.
  • We will suspend any accounts that have distinct usernames but have a matching email address. The account with the highest privileges will be maintained. To reactivate a suspended account, reach out to Wildbook support. Encounters, individuals, and occurrences will be retained and accessible to collaborators.

If you have any accounts in the myUsers page that are missing a username and would like to be able to log in as that user, send an email with the subject line “USER INFO UPDATE” to services@wildme.org with the following information:

  1. Wildbook the account is on

  2. desired unique email address to associate the account with

  3. desired unique username to associate the account with

  4. any other identifying information that can help us find your account (UUID, specific encounter, etc)
